    When you access the BOT Manager, you'll be on the dashboard or the dashboard::simple. Let's start at the dashboard::simple




    On the dashboard::simple all of your current events will be listed. There are six columns within the current events section:

    • Program
    • Sub-program
    • Issued
    • Cloak
    • Availability
    • Tools

    Program

    equals the name of your event. Click on it to access the entire program. Select the edit pencil to update the information at that level.

    Sub-program

    equals the date and time of your event. Click on it to access that particular date and time. Select the edit pencil to update the information at that level.

    Issued

    shows how many tickets have been issued for that sub-program. This number will include advance sales and any comps or subscribers that are in the system.

    Cloak

    shows the visibility. There are three options for the cloak:

    public (visible on the website and at our call center)
    internal (not visible on the website, but our call center team can see it)
    hidden (not visible on the website or at our call center)

    These cloaks follow you through the system and you'll see them at various levels -- program, sub-program, item and price. You can manually manage the cloak by editing the level you're at and updating the cloak settings.

    Availability

    shows the accessible status of the sub-program. There are three options for the availability:

    available (sales are currently available)
    offline (sales have ended or are offline)
    sold out (the available inventory has been used or manually shut down)

    Again, these options follow you through the system and you'll see them at various levels -- program, sub-program, item and price. You can manually manage the availability by editing the level you?re at and updating the cloak settings. The availability will change automatically if sales end or tickets sell out.

    Tools

    Working from left to right your tools are:

    • lightning bolt/link
    • "Q&A" question and answer tool
    • "S" Status
    • "A" Transaction - All report
    • "W" Transaction - Will Call report
    • "D" Transaction - Details report
    • "R" Roster report (if applicable)

    Anywhere you see this icon you can access a static link. Simply click on it to open a new window or tab, depending on your browser settings. Or you can right click (or control click) to copy the link.

    "Q&A" question and answer tool

    Through this icon you can access the answers to any marketing questions you've asked at the program level. Although it appears at various levels throughout the BOT manager, questions can only be set at the program level.

    "S" Status

    Selecting this icon will open up an onscreen status report showing your current sales. Like many of the other tools, it will follow you through the system and can be run at a variety of levels.

    "A" Transaction - All report

    Selecting this icon will open a PDF of your "transaction - all" report, which will show all orders.

    "W" Transaction - Will Call report

    Selecting this icon will open a PDF of your "transaction - will call" report, which will show all orders to be picked up at will call.

    "D" Transaction - Details report

    Selecting this icon will open a PDF of your "transaction - details" report, which will show any orders with a detailed note. Detailed notes can be entered by our call center team, at the request of a customer, or by your team.

    "R" Roster report

    (when available)
    Selecting this icon will open an excel spreadsheet of your "roster" report, which will include the names associated with each order, their ticket type and seating assignment.
